Administrative Assistant

The Administrative Assistant will provide high-level administrative and organizational support to the General Secretary and the Office of the General Secretary of the Guyana Football Federation (GFF). The role will be central in ensuring smooth day-to-day operations, acting as the primary administrative liaison with GFF stakeholders, and delivering efficient secretarial services. This position requires exceptional communication, discretion, and the ability to manage multiple priorities in a fast-paced environment.

Essential Duties & Responsibilities

Manage the General Secretary’s calendar, coordinate appointments and schedule meetings; prepare minutes and action points for meetings chaired by or involving the General Secretary.
b. Draft, review, and format correspondence, reports, and official communications. Assist in preparing briefing materials and background documents for stakeholder engagements.
c. Maintain organized filing systems (both digital and physical) for the Office of the General Secretary.
d. Coordinate communications, follow-ups, and responses on behalf of the General Secretary.
e. Support in tracking key initiatives, deadlines, and deliverables from the General Secretary’s Office.
f. Assist the Head of Administration to coordinate logistical arrangements for events, meetings, conferences, and travel for the General Secretary.
g. Assist in managing confidential projects and special assignments as delegated.

Personal Attributes

1. Experience in stakeholder engagement and correspondence handling.
2. Excellent organizational and multitasking abilities.
3. Strong written and verbal communication skills.
4. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and basic document management tools.
5. Ability to maintain discretion and confidentiality at all times.
6. Strong interpersonal skills and cultural sensitivity.
7. Ability to work independently and under pressure to meet deadlines.

Minimal Qualification & Experience

Preferred Bachelor’s degree or Diploma in Business Administration, Management,  Communications or related field. Acceptable certifications and/or diploma in Secretarial Service, Office Administration or related field.
2. Minimum of 3 years of experience (preferred 5 years and above) in administrative support, in corporate, academic, or non-profit organization.
